Site Inductions – United Wambo Joint Venture (UWJV)

UWJV require all mobilisation requests being submitted to have the job title group labelled as “Site Contractor” included prior to submission.  Please ensure when selecting the job titles that this included to avoid being declined to resubmit.

Company transfers/terminations/personal details updates etc that need to be made to any ‘Glencore Only’ profile, please log into your Ideagen Company Portal and amend as required.  For any Site Induction queries not outlined in the available documentation, please contact your Glencore Site Representative.

Why do I need to submit a mobilisation request to UWJV?

As part of UWJV’s Contractor Management Plan, certain documents and qualifications are required before UWJV will allow their contractors to perform a particular role or job on their sites.

How do I know what documents UWJV require for my role or job on site?

UWJV has created a Contractor Onboarding Skill Matrix. This is a list of all the job titles with their types of documents and qualifications UWJV must have on record before a contractor is allowed to carry out a role or job. You will find this matrix in the online booking process, when you select the job title you will be doing onsite this will automatically bring up the evidence of skills required. Please refer to the Contractor Onboarding Skills Matrix prior to starting your online booking.

I don’t have the documents requested in the Contractor Onboarding Skills Matrix?

If you or your employees do not have the required documents and qualifications listed in the Contractor Onboarding Skills Matrix, you will need to speak to your UWJV contract manager and find out if a Letter of Competency will be accepted.

My job title or role is not listed on the Contractor Onboarding Skill Matrix?

If your job title is not listed, you will then need to provide a Letter of Competency detailing your role and experience to the inductions.uwoc@glencore.com.au email address where further advice on the appropriate job title will be provided by UWJV.

Please only select the job titles that the worker will be performing onsite.  There is no need to add all extra job titles for qualifications that the worker will not be using onsite.

How do I know what to supply before I can work on site?

The Contractor Onboarding Skills Matrix will step you through what forms, documents and qualifications you must supply for each job title before you are approved to work at UWJV.

How do I upload the medical information?

UWJV has separate certifications for medical documents.  Please note that we require either a current Order 43/Order 45 medical to be supplied that includes the traffic light page which determines whether the medical is of a green, amber or red status. 

There are certifications available under the “Site Contractor” job title which prompt for an Order 43/Order 45 medical to be uploaded.  These can be uploaded under either certification labelled as UWJOC_MEDICAL_OR45 or Non-Coal Mine Worker UWJOC_MEDICAL_NCMW.  We only require the latest current medical review to be uploaded.

If the medical is classified as amber 2 or amber 1&2 status, UWJV will require a medical management plan to be submitted also.  This editable blank form can be downloaded from the Documents & Information Tab and can be uploaded under the medical management plan certification code as a separate upload to the medical document.

Do I have to fill in every section of the Forms?

Yes, this information is required by UWJV from all their contractors. If there is an incomplete section, the form cannot be processed and will need to be declined.

I sent my paperwork yesterday, why have I not heard anything?

UWJV have 48 hours to process paperwork after they receive it. Once UWJV have received and processed all the correct paperwork and forms, you will be able to view all correspondence in your Company Portal as to where each worker is up to with their mobilisation.

I have requested a preferred session date, why have I not received confirmation that my worker is booked in for the Site Induction?

It is important to note that when a date is selected for a preferred session for a mobilisation, this does not confirm that the worker is booked in, this is an unconfirmed booking.  UWJV still needs time to process all the documentation for the requested job titles and then e-learning is required to be deployed plus finalised by the worker.  The company and worker should receive a confirmation email once the worker has been fully confirmed for the requested date.  If you have not received confirmation and your worker is showing as “completed” upon checking your Ideagen Company Portal, please reach out to inductions.uwoc@glencore.com.au for further advice.  Please do not advise or send your workers to site without confirmation being received, as they could be subject to being turned away if all the requirements have not been met.  UWJV also issues an email out to all confirmed attendees the day prior to the scheduled site walk around which advises of further session information.
